Privacy Policy

Introduction
Seven Southgate ("we", "our", or "us"), an independent software studio based in New Zealand, operates the Briefing mobile application (the "App"). Briefing asks you a few questions before a medical, dental, allied-health or mental-health appointment and turns your answers into a short, prioritised brief that you can show or send to your clinician.
Because the App handles information about your health, we have designed it to collect as little as possible, keep it on your phone for as long as possible, and store nothing about you on our servers. This policy explains exactly what happens to your information.
What Briefing Is Not
Briefing does not give medical advice, make a diagnosis, or decide how urgent anything is. Everything in your brief is what you told the App, labelled as patient-reported, for your clinician to weigh up. If you think you need urgent help, contact your local emergency number.
Information You Provide
When you use the App you may enter:
- Your name and age, so the brief has a heading your clinician recognises
- The kind of appointment (for example physiotherapist, doctor, dentist)
- Your answers to the interview questions — your symptoms, how long you have had them, what you have tried, medicines, allergies, relevant history, what you want from the visit and any worries. Some questions are routine safety questions. These answers are health information.
There are no accounts, passwords, email addresses or sign-ins. We do not collect device identifiers, advertising identifiers, location, or contacts.
Voice Answers
You can answer questions by speaking instead of typing. If you choose to, the App asks for permission to use the microphone and speech recognition. Your speech is transcribed by Apple's speech-recognition service; where your device supports it, this happens entirely on your phone. We never receive audio. Only the resulting text — which you can read back and edit before it is used — becomes part of your answers. You can turn microphone and speech access off at any time in your device's Settings. Apple's handling of speech recognition is governed by Apple's Privacy Policy.
Where Your Information Goes
On your phone
Your answers stay on your phone while you fill them in. Nothing is sent anywhere until you have read a plain-language summary of your answers and tapped "create my brief".
Creating the brief
When you tap "create my brief", your answers are sent over an encrypted (TLS) connection to our brief service, hosted on Fly.io in the Sydney, Australia region. The brief service passes your answers to an AI language model operated by Anthropic (the Claude API) with instructions to arrange them into a prioritised brief, and returns the brief to your phone.
- Our brief service stores nothing. It does not save your answers or your brief, does not keep a database, and its logs record only timing and status codes — never the content of requests or responses.
- Anthropic processes your answers to generate the brief under its commercial terms, which do not permit it to use your data to train its models. Anthropic may retain API inputs and outputs for a limited period for trust-and-safety purposes, as described in Anthropic's Privacy Policy.
After the brief is returned
Your brief is shown only to you, on your phone, and is held in the App's memory. It is not saved to disk by the App and is cleared when you tap "Start over" or the App closes. It is shared with someone else only if you choose to share it, using your phone's share sheet (for example Messages, Mail or AirDrop). Once shared, the copy you sent is governed by the service you sent it through and by the recipient.
Data Sharing
We do not sell your personal or health information to anyone.
Your information is shared only:
- With our processors — Fly.io (hosting) and Anthropic (the AI model) — solely to create your brief, as described above
- With whoever you choose to share your brief with
- As required by law
We do not share information with advertisers, ad networks, data brokers or marketing companies.
Advertising, Analytics and Tracking
Briefing contains no advertising and performs no tracking. The App has no analytics SDK, no advertising identifiers and no cross-app tracking. We do not use your health information for any purpose other than creating your brief.
Data Retention
- On your phone: until you tap "Start over" or close the App
- On our brief service: not retained
- At Anthropic: a limited period for trust-and-safety purposes under its policy, then deleted
Your Rights
Because we hold no record of you, there is nothing for us to look up, correct or delete on request — your information is on your phone, under your control. If you believe we do hold information about you, or you have any privacy concern, contact us at the address below and we will respond within 30 days.
New Zealand Privacy Act 2020 and Health Information Privacy Code 2020
As a New Zealand business handling health information, we act in accordance with the Privacy Act 2020 and the Health Information Privacy Code 2020. If you are not satisfied with how we handle a privacy concern, you can raise it with the Office of the Privacy Commissioner (privacy.org.nz).
European Economic Area and United Kingdom (GDPR)
Health information is special-category data. We process it only with your explicit consent, which you give by tapping "create my brief" after reviewing what will be sent, and which you can withhold by not tapping it. Our processors are located outside the EEA/UK (Australia and the United States); transfers rely on standard contractual clauses in our processors' terms. You have the rights of access, rectification, erasure, restriction, portability and objection; contact us to exercise them.
California (CCPA/CPRA) and other US states
We do not sell or share personal information for advertising, and we do not use sensitive personal information for any purpose other than providing the service you asked for. Where state consumer-health-data laws apply (for example Washington's My Health My Data Act), this policy serves as our consumer health data privacy policy.
Children's Privacy
Briefing is intended for adults and for parents or guardians preparing for a child's appointment on the child's behalf. We do not knowingly collect information from children under 13 without a parent or guardian.
Security
- All connections between the App, our brief service and Anthropic use TLS encryption
- Our brief service accepts requests only from the Briefing app and rate-limits them
- Our brief service keeps no database and never logs request or response content
- No API keys or credentials are embedded in the App
Changes to This Policy
If we change how the App handles your information, we will update this page and the "Last updated" date, and describe material changes in the App's release notes.
